How do I get receipts into QuickBooks Online without creating duplicate transactions?

A duplicate appears when one purchase is written twice: once by the bank or card feed and once when a captured receipt is turned into a new expense. For a purchase paid from a connected account, match the receipt to that account's downloaded transaction instead of creating an expense, and leave it in review until the line arrives. Create a transaction from a receipt only when no feed will ever show the purchase, such as cash or personal funds.

Why does one purchase end up in the books twice?

Two writers can record the same purchase without knowing about each other: the bank or card feed downloads the charge, and receipt capture drafts a transaction from the receipt. Intuit's undated duplicate-transactions page, whose steps are for QuickBooks Online, lists adding a downloaded transaction instead of matching it among the causes of duplicates. Intuit's guide to the AI-powered banking page says finding a match means QuickBooks has a downloaded transaction that is the same as one you have already categorized and posted, and that matching avoids duplicates.

The common path looks right at every step. You create an expense from a receipt on Monday; on Wednesday the card line downloads and you choose a category for it instead of matching it. The purchase is now counted twice. For any account with a feed, the feed line comes straight from your bank or card provider, so the receipt should end up matched to it, not posted beside it.

What does each way of getting a receipt in create?

The route decides whether a receipt waits for review or posts at once:

Intuit's upload-receipts page says QuickBooks extracts information from each receipt and creates a transaction for you to review, and that the Reviewed tab shows the receipts you added to your books. Intuit's email-receipts page describes receipt capture as linking receipt images to expenses; a match links the receipt to a transaction you already have instead of creating one. Intuit's personal-funds page shows the expense-form route, where you can upload the receipt or enter the expense manually, and Intuit's expense-entry page shows an expense taking an attachment such as a receipt. Expensify Classic's undated page on configuring QuickBooks Online shows the app route: card expenses can be exported individually as bank transactions.

What should I do with each receipt?

Decide by one input: where the bank or card line for the purchase stands. Tab names vary by version. Intuit's AI-powered banking guide calls downloaded lines Pending, and lines you matched or chose a category for Posted; Intuit's undated duplicate-transactions page calls the banking review tab For review and says the Categorized tab may be labeled Posted.

What should I check before accepting a receipt?

The Receipts page's For review tab is one of two places a duplicate can be stopped rather than repaired. The other is the banking review tab, where you match a downloaded line instead of choosing a category. Nothing in either tab is in your books yet. Before you create or match, check these points:

  • One purchase per file. Intuit's email-receipts page says to make sure each image or file contains only one receipt.
  • Extracted details. Intuit's email-receipts page says QuickBooks automatically pulls dates, amounts, vendor, and last four digits of the credit card from the image, so compare each of these with the image.
  • Payment account. Intuit's expense-entry page says this field is the account you used to pay. Check that the card digits QuickBooks pulled belong to the account chosen; a receipt with no card digits needs the sole-record check below. A card purchase recorded against the wrong account will never meet its feed line.
  • Category. For a receipt you will create as a new transaction, confirm the category, which Intuit's email-receipts page says must be correct to keep your books accurate.
  • Any suggested match. Intuit's upload-receipts page says that when QuickBooks has identified a matching transaction you can skip the review and select Match. Check the suggestion's amount, date and payee against the receipt first, especially for a charge that recurs at the same amount.

If any point is uncertain, leave the receipt in For review; it stays out of the books until you create or match it. Clear the tab at least as often as you reconcile, so a cash or personal purchase is not left unrecorded.

How do I keep each card or account to one writer?

For each bank or card account, decide which route writes its transactions and make every other route only match. Where a feed is connected, make the feed the writer, because its lines come straight from your bank or card provider. That is a choice, not an Intuit rule: an app that exports each card charge can be the writer instead, as long as every feed line is matched to its export. Check these writers:

  • Bank rules. Intuit's undated duplicate-transactions page recommends turning off auto-add on bank rules so downloaded transactions go to the banking review tab first. A rule that auto-adds a monthly subscription, plus an expense created from each month's emailed receipt, doubles that charge every month.
  • The three review routes. Intuit's email-receipts page has you turn forwarding on for each user, so switch forwarding off for anyone whose receipts go through another route.
  • The expense form. Keep that route for sole-record purchases.

Expensify Classic's undated page on configuring QuickBooks Online shows how an app collides with a feed: it warns that importing from both a bank feed and Expensify may produce duplicates, and has you final-approve reports before export, export expenses as non-reimbursable Credit Card expenses, and then import the card feed and match the imported expenses. It also assigns per cardholder the QuickBooks account that card's exports go to. So for each card, choose one arrangement: the feed writes and the app does not export that card's charges, or the app writes, exporting that card's charges individually as credit card expenses, and every feed line for that card is matched to its export. Look in your app's own documentation for a setting that stops it exporting one card or limits it to attachments; without one, match every feed line to its exports. Either way, native capture on that card only matches.

How do I tell a supporting receipt from one that is the only record?

A receipt for a purchase on a connected account only supports the transaction the feed records, so match it. A receipt for a purchase no feed will ever show is the only record, and creating a transaction from it is correct. Check how the receipt says it was paid before accepting any suggested match: a cash receipt paired with a card charge of the same amount is a coincidence, and matching it would leave the cash purchase unrecorded.

For personal funds, Intuit's personal-funds page says you can upload the receipt or enter the expense manually, select the expense category, select Owner investments on the next line (or Shareholder's equity/investments or Partner investments, whichever your file uses; the page says to consult your accountant if you're not sure which account to use) and make sure the total is $0.00. If the business later reimburses you, the same page says you can also wait for the reimbursement to show up in your bank feeds and categorize it in the same Owner investment (or similar) account you chose when you recorded the purchase. That bank line is the reimbursement, not a copy of the purchase, so do not match it to the expense. If you record the reimbursement as a check or expense instead, match the bank line to that record when it downloads rather than categorizing it again.

For cash, set the Payment account to the cash or petty-cash account you paid from (Intuit's expense-entry page says the field holds the account you used to pay), not the bank account the cash was withdrawn from. The bank withdrawal that funded it moved money from the bank into that cash account. Record it that way when its line downloads, never as a second expense and never as the purchase's match.

How do I find and fix a duplicate already in the books?

Intuit's undated duplicate-transactions page says to compare the copies side by side, checking the date, amount, payee, and whether each copy was downloaded or entered manually, and recommends reconciling each month to catch duplicates you missed. To find them, it has you open the card or bank account's register (All Apps, Accounting, Chart of accounts, View register), set the date range and select the Amount column so identical amounts line up. The Receipts page's Reviewed tab lists the receipts you added to your books, so check each one against the register. Before removing anything, the duplicate-transactions page has you confirm the charge appears once on your bank or card statement; if it appears twice there, it really happened twice, and the page says to work with your bank or the payment processor instead of changing your books. The receipt copy usually carries the image; the feed copy usually carries the bank's memo text and is the one linked from the Added or Matched column of the banking page's Categorized or Posted tab.

Intuit's duplicate-transactions page keeps a reconciled copy first and, if neither is reconciled, the copy that's matched to other records or has attachments. A reconciled copy shows C or R in the checkmark column. For a receipt duplicate, that works out as follows:

Attaching a file to a transaction already in your books is covered by the separate question on attaching receipts to transactions. If both copies came from receipts, for example one emailed and one snapped, keep the reconciled copy; only if neither is reconciled, keep the one the bank line is matched to; delete the other. If both are reconciled, follow the C or R on both copies row. Never exclude a bank line that is the only link between a transaction and the statement. Do not undo a whole reconciliation to fix a duplicate: Intuit's reconciliation-undo page warns that undoing one is irreversible. If you delete the wrong copy, Intuit's void-or-delete page says a deleted transaction is removed everywhere except the audit log, which you can use to re-enter it. If the copy you deleted was reconciled (it showed C or R), Intuit's duplicate-transactions page says your beginning balance may be off, and to follow the steps in its article on fixing accounts you've reconciled in the past, then check with your accountant before unreconciling anything. What does a fixed duplicate look like?

On March 3 a 64.20 office-supplies purchase goes on the business card. The card line is posted in banking under Office supplies and later reconciled, and the emailed receipt is also turned into an expense. Before the fix, the books hold two records:

Office supplies shows 128.40 for one purchase, and the card register carries 64.20 more than the statement, uncleared in Expense B. Only the feed copy shows R, so Expense A survives: add the image to it, change nothing else on a reconciled copy, not the amount, date or account, confirm it is there, then delete Expense B. After the fix, one record remains:
