# Why is my accounting software not matching downloaded bank transactions to the records in my books, and how do I fix it?

If the downloads are in the review queue, the fault is in matching, not the feed. The matcher proposes a record whose amount matches and whose date falls in the window the product compares; QuickBooks Desktop also compares the payee. Usually no single record fits: the money was grouped, a fee was deducted, the date is outside the window, a rule acted first, or the record is already matched or reconciled. Never edit a correct record to force a match.

## Is this a matching problem or a feed problem?

Start by opening the bank account's review queue. In QuickBooks Online, downloaded transactions that have not been matched or added wait on the Pending tab (labelled For review in some versions), and that is where a download goes back to when a match is undone. If the transaction you expect is there, the bank has delivered it and the software has it. Refreshing or reconnecting the feed cannot change how an item already on your screen is matched, and QuickBooks Desktop's own documentation says it can, rarely, download duplicate statements or transactions. Stop working on the connection and work on the match.

If the transaction is not in the queue at all, check the transactions already reviewed before concluding anything. An item that is missing everywhere is a delivery problem, which is a separate fault from the one covered here.

## What does the software compare before it proposes a match?

A matcher is looking for a record that already exists in your books, with the same amount, on a date inside the window the product searches. The exact criteria differ by product and version:

- **QuickBooks Desktop** bank feeds: "When QuickBooks makes a match, it looks at the check numbers, amount, date, and who paid you." Its own list of reasons an item stays unmatched is the mirror image: the record could have a different transaction number, amount, date, or name.
- **QuickBooks Online** suggests matches for transactions with the same amount within a date range of 90 days before to 20 days after the transaction date. When it suggests something you disagree with, or nothing at all, Find other match lets you search for the right record yourself.
- **Zoho Books** lets you select several existing transactions against one statement line, and the match goes through once their combined amount equals the amount of the bank line.

Amount is the common thread. QuickBooks Online suggests matches for transactions with the same amount, and the first reason it lists for not suggesting one is that bank fees or discounts change the total. Expect a record that is off by a 1.75 card fee or a 0.30 transfer charge to go unproposed.

## Which situation am I in?

Before testing causes, decide which of three things the software did, because each needs a different first action.

1. **No proposal at all.** The item sits in the queue with no suggested record. Work through the ordered tests below.
2. **A wrong proposal is offered but not accepted.** Nothing has changed in your books yet. Do not accept it because the amount agrees. Check the account, the date and the payee or customer on the proposed record. If any of them is wrong, reject it (in QuickBooks Desktop, Not a match in Express Mode or unmatch in Classic Mode; in QuickBooks Online, choose Find other match) and look for the right record.
3. **A wrong proposal was accepted.** The download is now linked to the wrong record, and that record may be showing as cleared or paid. Undo the match first, using the sequence further down, before you diagnose why the right record was not proposed. Until the wrong link is broken, the right record cannot be matched and every other test gives misleading results.

There is a fourth state that looks like a matching complaint but is not: the download was added as a new transaction, and the original record is still in the books. You now have the same money twice. Further matching cannot fix that; it is a duplicate cleanup, and it belongs with finding and removing duplicate bank transactions.

## In what order should I test the causes?

Take the causes in this order. Each test either finds the cause or rules it out cheaply:

1. **Did a rule act first?** In QuickBooks Online, a rule that has been applied puts a RULE badge in the Category field, and an auto-post rule shows an AUTO badge. An auto-post rule automatically adds any transactions on the Pending tab that meet its conditions, and it runs when you sign in, upload a file, or create or change such a rule. To find rule-touched items, open Bank transactions, select the All transactions dropdown and filter by Rules, No rules or Auto-post rules. An item added by a rule never reached you as a match candidate: undo it, then match it. Where several rules could apply, the rule with the highest priority is always applied first, so a broad rule high in the list can catch items meant for matching.
2. **Is the record already matched?** A record that is already linked to another download is not offered again. QuickBooks Desktop says of items marked with the lightning bolt in the cleared column that "they won't match again, even if all the info is the same." If the record was matched to the wrong download earlier, that earlier match has to be undone first.
3. **Is the record already reconciled?** QuickBooks Online will not suggest a match to a record you have already reconciled, and its remedy is to exclude the download so that it does not create a duplicate. QuickBooks Desktop will not match a downloaded transaction to an already reconciled transaction either. Do not add the download instead.
4. **Does a record exist at all?** Search the books for the payee and the amount. QuickBooks Desktop's own first explanation for an unmatched item is that you may not have put it into QuickBooks yet. If nothing exists, there is nothing to match: record the transaction, or add it from the feed.
5. **Is the record in the wrong account?** A payment recorded against a different bank account, or a bill payment posted from the wrong card, is not a record in this account, so there is nothing here for the download to meet. Correct the account on the record, then match.
6. **Is the date outside the window?** QuickBooks Online lists a record falling outside the date range — more than 90 days before or 20 days after — as a reason no match is suggested. Use Find other match to search for the record yourself, and if the search does not reach it, check that the record's date was entered correctly.
7. **Is the amount different?** First check the source document. If the record was keyed wrongly and the bank amount is what actually moved, correct the record so it matches the statement; QuickBooks Desktop names a typo in the record as a cause and correcting the record as the remedy. If the record agrees with the invoice or bill and the bank amount is smaller, the difference is a fee, a bank charge, or a customer who paid short: go to the section on differences below.
8. **Does one download stand for several records, or the reverse?** If no single record comes close but several records add up to the download, the bank grouped them. Go to the section on grouping.

## What if one download covers several records, or several downloads cover one record?

The matcher can only make a simple proposal when one download corresponds to one record. When the bank shows one deposit for three customer payments, or one download is a processor payout covering a day's sales, no single record has the amount, so nothing is proposed. QuickBooks Online states the problem directly: if you record each payment separately in QuickBooks, your records won't match the bank.

The remedy is to group the records, not to edit either side:

- **QuickBooks Online.** Put the payments you need to combine into the Undeposited Funds account, then record one bank deposit that includes them. That deposit is the record the download matches. These steps are for payments taken outside QuickBooks: if the payout is from QuickBooks Payments, that product moves the transactions into your accounts automatically.
- **Zoho Books.** Select each of the existing transactions against the statement line; once their total equals the bank line, you can match.

The reverse case, several downloads behind one record, usually means you recorded one entry for money the bank moved in pieces, such as one bill payment the bank took as two debits. Replace the single record with entries that correspond to what the bank moved, so each download has its own record. None of the vendor pages cited here documents a split facility for this case, so use your product's own help for the mechanics.

Breaking a processor payout into its sales, fees and refunds is its own task. For matching, what matters is to recognise that the download is an aggregate and to build a single record whose total equals it.

## How do I record a difference between the downloaded amount and my record?

When the bank amount is smaller than your record because something was deducted, the difference is a real transaction: a fee, a charge, or a shortfall. Record it; do not make it vanish.

The QuickBooks Online bank deposit includes a step to add bank or processing fees, so leave the original transactions as they are and let the fee bring the deposit total to the amount the bank recorded. Zoho Books takes the same approach for payment-gateway fees: record the transaction fee as a new transaction.

The accounting reason is that the sale or invoice was for the full amount, and the fee is a separate expense. In the textbook treatment of a card sale, Sales Revenue is credited for the original sales amount, and Credit Card Expense is debited for the fee. If you edit the invoice down to the net amount so the match takes, you understate the sale, you hide the fee, and the customer's account no longer shows what they owed.

A customer who paid short is a different difference. That shortfall is not a fee, so do not write it into bank charges. Record the payment that was actually received, and decide about the remainder separately.

## What does a worked example look like?

A downloaded deposit of 1,452.30 sits on the Pending tab with no proposal.

- **Present?** Yes, so the feed is not the problem.
- **Rule?** No RULE or AUTO badge, and nothing for this amount among the reviewed transactions.
- **Already matched or reconciled?** Searching for 1,452.30 finds nothing, and the period is still open.
- **Record exists?** Three customer payments are sitting in Undeposited Funds, dated two to four days before the deposit: 500.00, 480.00 and 500.00, totalling 1,480.00.
- **Date window?** All three are within the window.
- **Amount?** 1,480.00 less 1,452.30 is 27.70. The card processor's statement shows a 27.70 fee withheld from the payout.

The cause is an aggregate net of a fee. The remedy is one bank deposit containing the three payments plus a 27.70 fee to the bank charges and fees account that reduces the total. The deposit totals 1,452.30, and the download now matches it. The deposit amounts to this entry:

None of the three payments or their invoices was changed.

## How do I undo a wrong match without disturbing my reconciliation?

In QuickBooks Online, if you matched a downloaded transaction with the wrong record, you can undo the match. This disconnects the two transactions and returns the download to the Pending tab, where you can find the correct match. In Zoho Books, use Unmatch: the statement line returns to the Uncategorized state and the transaction to its Manually Added state. Do not use Uncategorize — that deletes the Zoho Books transaction.

Work in this order:

1. Check whether the period is reconciled (see the next section). If it is, stop and plan first.
2. Undo the wrong match. Do not delete the download or the record.
3. Confirm the download is back in the Pending tab and the original record is still in the register.
4. Fix the cause you found: group the records, add the fee line, move the record to the right account, or correct the date on the record if it was entered wrongly.
5. Match the download to the corrected record.
6. Verify. The download should no longer be pending, the register should show one entry for the money, not two, and the account balance should still agree with the bank.

## What changes if the item is in a period I already reconciled?

QuickBooks Online's advice is that if you already reconciled the transaction you want to unmatch or change, reach out to your accountant for advice. The reason is that removing a cleared transaction changes the beginning balance for your next reconciliation, and undoing a full reconciliation is irreversible.

So, in a reconciled period, change as little as possible. The documented route is to have your accountant unreconcile the transaction, make the corrections, and reconcile again. What undoing a match does to a reconciled record's status, and whether rematching restores the cleared amount, is not stated by the sources cited here, so do not rely on a same-session rematch to put the reconciliation back. Afterwards, open the reconciliation for the following period and confirm its beginning balance still equals the ending balance of the completed one. If it moved, you have a reconciliation problem to fix before going any further.

## When should I add the download instead of matching it?

Add it only when no record exists for it: the bank charged a fee you had not recorded, or a payment went out that nobody entered. Adding then creates the record the books were missing.

If a record does exist, adding is the wrong move even when it is the fastest way to clear the queue. The added item and the original record then both carry the same money, the account overstates activity, and the error surfaces at reconciliation as a duplicate. QuickBooks Online describes categorizing a download as creating a brand-new record, and it presents matching as the option that links the download to a record you already created and keeps duplicate entries out of the books.

## How do I stop this from recurring?

- **Enter records before the download arrives, and date them correctly.** A record dated the day the money actually moved stays inside the search window.
- **Group deposits the way the bank does.** Record multiple payments as one deposit, with fees as a line on that deposit, whenever the bank will show one total.
- **Use one account consistently** for each bank account and card, so the record sits where the download lands.
- **Keep rules narrow**, and check what auto-post rules have added. A rule that adds items automatically should never catch a transaction you record in advance. Rules and their priority are a design task of their own.
