# Where can I find and how do I use the manual or documentation for a bank-reconciliation product?

Open the product's built-in help first, then the vendor's documentation site, release notes and knowledge base, signing in or asking your support contact where access is restricted. Before trusting any page, fix your product, edition, version and region. Find the task procedure in the vendor's own terms, read its prerequisites, assumed role, steps and stated result, and try it where live books cannot change. Treat community posts as leads, and take gaps to the vendor's support route.

## Where is a reconciliation product's documentation published?

Vendors publish through several routes at once, and your product decides which exist. Check each of these:

- **In-product help.** Microsoft's Business Central help-resources article, Resources for help and support, says Ctrl+F1 opens a Help pane in Business Central 2022 release wave 1 and later, on any page, topped by a card describing the current page where one exists.
- **The documentation site.** This is the vendor's manual, though Microsoft's help-resources article notes that Business Central partners and many customers also deploy their own Help to their own websites.
- **Release notes.** Sage's What's New page for Sage 50 U.S. Edition describes Release 2026.1 and flags edition limits, such as a feature not available in Accountant Edition; the Sage 50 help home page links it as the most recent release.
- **A knowledge base.** Oracle's undated SuiteAnswers Overview describes SuiteAnswers as NetSuite's self-service support site, with announcements, support articles, videos, help topics and best-practice documents.
- **Training.** Microsoft's help-resources article lists free learning paths and e-learning modules for Business Central.

## Which routes need a sign-in or a support entitlement?

How the material is made available decides whether your next step is to search, to sign in or to ask someone:

| Reachable only when signed in to the product | Sign in first. Oracle's undated SuiteAnswers Overview says you must be logged in to NetSuite to access SuiteAnswers. |

## Which product, edition, version and region are you on?

A procedure applies only to the product, edition, version and region it was written for, so fix all four before reading any page.

**A hosted product.** One current documentation set can still cover several releases, so compare each page's applies-to line with your product's version. Microsoft's help-resources article says Business Central gets major feature updates every six months plus monthly service updates, and that the Troubleshooting section of the in-product Help & Support page shows your current version; the article itself marks sections with lines such as "Business Central 2022 release wave 1 and later". Microsoft's sandbox article says environments can be created on any available version.

**An installed product.** Sage's Sage 50 help home page describes the product as desktop accounting software and lists its versions as "Version: 2026 | 2024 | 2023". Find the release your installation reports, or ask whoever installed it, and open that set rather than the newest; Sage's Release 2026.1 notes sit in its 2026 set, so match your release to the set containing it.

Edition and region change the steps too. Sage's Sage 50 help home page warns that, depending on your purchase agreement, some features it describes may not be available in your product. Microsoft's reconciliation article, Reconcile bank accounts, says North American versions of Business Central offer a Bank Rec. Worksheet page, better suited to checks and deposits but unable to import bank statement files, which replaces the Bank Acc. Reconciliation page when the Bank Recon. with Auto. Match field in General Ledger Setup is cleared. Microsoft's help-resources article suggests looking in the Local Functionality section when a button or action is not described in the general section. Steps written for another version, edition or region will not match your screens, and following them can mean abandoning a feature you have or running a different operation.

## Which type of documentation answers your question?

Documentation sets mix several types, and a topic can seem absent when you are reading the wrong one. Match your need to the type:

| Getting started | Orientation. Sage's Sage 50 help home page points to a Getting Started Guide on navigating the application, performing common tasks and setting up your company. |
| Task procedure | Steps. The OASIS DITA standard's Task topic definition calls tasks the essential building blocks of procedural information. |
| Reference | Looking up what a field, setting or option means. DITA's Reference topic definition says reference topics give quick access to fact-based information. |
| Configuration and administration | Setup, users and environments. Microsoft publishes separate developer and administration documentation for Business Central. |
| Release notes | What changed, and in which release. |
| Troubleshooting | A symptom and its remedy. DITA's Troubleshooting topic definition calls this corrective action information. |

## How do you search in the vendor's own vocabulary?

Vendors name reconciliation work differently, even inside one product. Microsoft's reconciliation article calls linking bank statement transactions to Business Central entries matching, and describes reconciling on a Bank Acc. Reconciliation page and also on a Payment Reconciliation Journal page. Zoho's undated Reconciliation help page uses reconcile for making sure the transactions in your bank account match those created in Zoho Books. Close the gap in this order:

1. Open the screen where you would do the work, and open help from there so the product can open the matching article; if it lands on a general page instead, go on to step 2.
2. Copy the vendor's words from that screen: its title, action names and field labels.
3. Search with those words. Microsoft's help-resources article describes filtering Learn's table of contents by words in article titles, and says that in the current version the in-product Help pane search covers only content published to the Business Central documentation, so partner or add-on help needs its own search.
4. Try synonyms such as match, clear, statement and register.

An empty search in your own words is weak evidence that a capability is missing. Conclude that only after searching the vendor's terms, the right version set and the release notes.

## How should you read a documented procedure?

Read the whole procedure before the first step, and mark these parts:

- **Prerequisites.** The OASIS Task topic definition describes them as what the user needs to know or do before starting the task. Confirm each is true in your books today.
- **Assumed role.** Note the role or permission the steps need. A page that names none can still lead to actions your role cannot see.
- **Steps.** Match every screen and option name as you go, and stop at the first mismatch.
- **Stated result.** The Task topic definition describes the result as the expected outcome of the task as a whole. Decide in advance how you will check it.
- **Follow-up tasks.** The Task topic definition's post-requisites are steps to do after the task succeeds. Find them before you start.
- **What it leaves unsaid.** Conditions often sit in notes and linked setup pages. Microsoft's reconciliation article notes that, in the North American version, Undo for posted bank reconciliations and bank statements needs the Bank Recon. with Auto-Match toggle turned on in General Ledger Setup, and is not available for bank statements posted from bank reconciliation worksheets. Treat a page's silence on reversal, on data already posted or on the role needed as unknown, not as permission.

## What changes if someone else administers the product or your role is restricted?

Before attempting any steps, identify the role a procedure assumes and who in the business holds it. Microsoft's Technical support overview says each Business Central customer has a partner who assists with technical support, and that a reselling partner with delegated administration privileges administers its customers' tenants; Microsoft's help-resources article also refers to an internal administrator, so the role holder may be inside the business or at the partner. Oracle's undated SuiteAnswers Overview says users in Employee Center, Customer Center, Vendor Center or Partner Center roles cannot reach the SuiteAnswers portlet and must switch to another role. If the role is not yours, ask its holder to run the step or confirm it fits your setup.

## What changes if reconciliation is a module in a larger system?

The reconciliation material then sits inside a much larger set arranged by module. Microsoft's help-resources article says Learn's table of contents groups Business Central articles by business area, and that where functionality is not provided by Microsoft, its provider also supplies help for it. Open the banking or cash-management area, confirm the article's applies-to line covers your deployed release, and check whether an add-on changes the standard reconciliation screens; if one does, read that provider's help.

## How do you confirm a procedure applies and try it safely?

Confirm these points before running a procedure on live books:

- The page covers your product, edition, version and region.
- Every prerequisite is true now, and you hold the assumed role.
- The stated result is the one you need.
- The documentation says how the action is reversed, or that it cannot be.

Then try it where live books cannot change. Microsoft's sandbox article, Production and Sandbox Environments, says a sandbox can include data from your production environment, that administrators create environments in the Business Central administration center, and that if anything goes wrong you delete the sandbox and start over. The sandbox article also says sandboxes can run preview versions and that a copied environment is not synchronized with the original, so confirm the sandbox runs your production release and repeat the procedure deliberately in production. It adds that a copy has service connections and webhooks disabled and extensions' outbound calls blocked until each is approved, so steps that depend on a connected service may behave differently there. Microsoft's reconciliation article offers a Test Report to double-check a reconciliation before you post it.

Reversal rules differ by product, and pages can be ambiguous. Zoho's undated Reconciliation help page says to undo an older reconciliation you should first remove every later one, calling that removal "delete" in one sentence and "undo" in the next. Where a page is unclear about an action that changes reconciliation state, ask the product's support route which action it means before running either. If your product offers no test environment or preview and documents no way back, do not run the action on live books until its support route confirms it. Performing a reconciliation, finding it in your menus, fixing one that will not balance and undoing one are separate questions.

## How do you tell vendor documentation from community and training material?

Apply two tests from Meriam Library's CRAAP Test (California State University, Chico): who the author or publisher is, and whether the information has been revised or updated. Vendor documentation is published by the vendor, so check the publisher and web address of every page, including pages opened from in-product help: Microsoft's help-resources article says Business Central's in-product help links can also open other websites. A page on a partner's or customer's site is that party's own Help, even when it names the product and release. Weigh other material against vendor documentation:

- **A partner's or add-on provider's help.** It governs the function that provider supplies, not the vendor's standard screens.
- **Community posts.** Treat them as leads: an answer shows how one setup behaved on one release, and may predate a change.
- **Training material.** Courses and videos use sample data and can lag the product, so confirm each step against the vendor's current procedure.

## What if the documentation is missing, out of date or contradicted by the product?

Work through these steps in order:

1. Recheck that you are in the set for your product, edition, version and region, including any local-functionality or add-on pages.
2. Check the release notes for a change since the page was written.
3. Record the gap: the page title, address and date, your version, what the product showed and the steps that produced it.
4. Escalate through the product's support route. If the product contradicts its documentation, report it as a problem, with the step 3 record. If a procedure is simply missing, expect a how-to answer, not a fix: Microsoft's Technical support overview says how-to questions aren't break-fix issues and can often be answered from product documentation, online forums or a knowledgeable partner, and that assisted training generally isn't included in support plans.

   Microsoft's help-resources article says your Business Central reselling partner handles technical support and raises a ticket with Microsoft if it cannot resolve the problem, and that Business Central online offers its Report a Problem section only with a paid subscription. Oracle's undated NetSuite Support page says you must be on the Authorized Contact list to submit an online support request or receive support by phone.

5. Leave the live books untouched by the uncertain step until you have an answer.

## How do you record which documented procedure the business followed?

Keep a short process note for each routine, so another person can repeat it and an update visibly invalidates it. Record these details:

- The page title and address, and the date or applies-to line it showed
- Your product, edition, version and region at the time
- Who followed it and when, and any step done differently and why
- Any discrepancy reported and the answer received

Check each note against the release notes after every update.

## What does a locate-and-verify checklist look like?

Run these steps in order each time:

1. Identify the product, edition, version or release, region and your role.
2. Open the vendor's documentation for that version, from in-product help where possible.
3. Find the task procedure in the vendor's terms.
4. Confirm its prerequisites, the role it assumes and who holds that role.
5. Confirm it applies: the stated result, conditions in notes and linked pages, and the way back.
6. Try it in a test environment or preview that runs your production release. If there is none and the documentation gives no way back, stop and ask the product's support route. Otherwise run it on live books and record the page you followed.
