  "body": "## How do I confirm it really is a duplicate?\n\nTwo records with the same date, amount and payee are not proof. Businesses are genuinely paid the same amount twice by the same customer, and they genuinely pay the same bill twice. The deciding evidence is the bank statement for the period. Two records that trace to one statement line are a duplicate. Two records that trace to two statement lines are two real transactions.\n\nCheck each record against:\n\n- **The statement line.** Look at the date the bank posted it, the amount, and any reference, check number or trace number the bank shows.\n- **The source document.** This means the deposit slip, remittance advice, check copy or payment confirmation. One deposit slip behind two recorded deposits points to duplication.\n- **How each record got into the books.** A record entered by hand next to one created from a downloaded feed line is the classic pair. Two records that each came from their own feed line are more likely two real movements, unless the feed was reconnected or a statement file was uploaded over those dates, in which case two feed lines can be one movement downloaded twice. The statement line decides.\n- **Links.** Is either copy applied to an invoice or bill, matched to a feed line, or grouped into a deposit? The linked copy is usually the one to keep.\n\nIntuit's own matching advice sets the same standard for the other direction: \"Always verify that you actually sent or received the payment before you complete the match.\" Apply it to removal as well. If you cannot trace a record to the statement, do not remove it yet.\n\n## What if the money really moved twice?\n\nThen nothing in the books is wrong, and nothing should be deleted. A bank reconciliation exists to explain the differences between the bank's balance and the company's records, and once it is done correctly, \"both the bank balance and the company balance will be the same amount.\" If you delete a record that matches a real bank movement, the books stop agreeing with the bank. You have turned a real event into a bookkeeping error.\n\nA second genuine payment is a money problem, not a records problem. If a customer paid twice, the overpayment is handled as a refund or a customer credit, not by deleting a record. If you paid a vendor invoice twice, recovering that money is covered in \"We paid the same vendor invoice twice — how do I find duplicate payments and get the money back?\" In both cases both records stay in the books.\n\n## How do I find every duplicate, not just the one I noticed?\n\nDuplicates usually arrive in batches from a single event, so start from the event, not the transaction.\n\n1. **Date the trigger.** Think back to when you reconnected the bank feed, uploaded a statement file, or started entering deposits by hand. That date sets your search window.\n2. **List the account's transactions for that window.** QuickBooks Online's \"Transaction List by Date\" report lists transactions by date across the period you choose. Scan it for pairs of the same amount on the same or nearby dates.\n3. **Look for the symptoms.** Common signs are a book balance higher (for doubled deposits) or lower (for doubled payments) than the statement by an amount that equals one or more transactions, income that looks too high for the month, and the same transaction appearing twice in the register.\n4. **Check the other side of transfers.** If both accounts in a transfer are connected, check both registers for the same amount.\n5. **Mark every pair** with its statement line before you remove anything. The list you build here is also your record of the cleanup.\n\n## What created the duplicates?\n\nThe cause decides which records are affected, which copy to remove and what has to change. There are three common causes.\n\n**The same data came in twice.** Intuit warns: \"If you disconnect an account while it has an error, it might download duplicate transactions when you reconnect it.\" Uploading a statement file by hand creates the same risk: \"Duplicates may sometimes occur when transactions automatically update from your bank after you've manually uploaded them.\" Duplicates from this cause usually cover a date range and come in as unlinked feed items.\n\n**A manual entry and a downloaded item were both kept.** Matching is designed to prevent this: \"Matching links your bank transactions to records you already created in QuickBooks, like invoices, receipts, and bills. This process keeps your books accurate and prevents duplicate entries.\" If the downloaded line was added as a new transaction and not matched to the payment or deposit you already entered, you end up with two records. Usually the manual one is linked to the invoice and the added one is not.\n\n**Both sides of a transfer were recorded separately.** This is not strictly a duplicate, but it gets reported as one. Intuit's guidance is: \"To keep your books in good shape, you should enter the transfer as a single transaction that affects both accounts.\" When two feeds each create their own entry, you get two one-sided records where there should be one transfer. The fix is to record the transfer once and match it in the other account: \"Once you've downloaded transactions from both accounts, you can categorize and match the transfer.\"\n\n## What state is the duplicate in, and which removal does that allow?\n\nFind the state of each duplicate before you touch it. The allowed action changes at each step, and using an early-stage action on a later-stage record damages the evidence from past periods.\n\n| State | Where you see it | Safe removal |\n|---|---|---|\n| Not yet posted | Bank transactions, For review or Pending tab | Exclude it |\n| Posted from the feed, not reconciled | Posted tab, created by adding a feed line | Undo, then exclude the feed line |\n| Posted by hand, not reconciled | Register, no feed link | Delete it (void only if the record is an invoice, bill payment, payment or sales order, or a check or expense) |\n| Reconciled | Register shows R | Check which copy carries the R before acting |\n| Inside a locked period | Dated on or before the lock date | Reversing entry dated in the open period |\n\n**Not yet posted.** Exclude the copy. Excluded transactions \"won't be added to QuickBooks or downloaded again.\" Excluding is the cleanest removal because nothing has reached the books. How to exclude and restore feed items as a routine task is covered separately.\n\n**Posted from the feed.** On the Posted tab, Undo on a transaction that QuickBooks created from the feed \"resets the transaction QuickBooks tried to create for you.\" The feed line goes back for review, and you then exclude it. If the duplicate is a feed line matched to the wrong record, Undo \"disconnects the two transactions, and the original downloaded transaction returns to the Pending tab where you can find the correct match.\"\n\n**Posted by hand.** Delete and void do different things. \"When you void a transaction, you keep a record of the transaction in your books that don't affect your totals.\" By contrast, \"You remove a transaction everywhere except the audit log when you delete it.\" Void is not available for every record: among sales transactions, \"You can only void invoices, bill payments, payments, and sales orders\", and among expense transactions, \"You can only void checks, expenses, and bill payments\". A duplicate deposit is on neither list, so it is deleted. Void also cannot be reversed: \"You can’t undo a voided transaction.\" Choose void when the record type allows it and you want the dead copy to stay visible in the register. Choose delete when a zero-value copy would only confuse whoever reconciles next. Either way, remove the unlinked copy.\n\n**Reconciled.** First check which copy carries the R. \"Reconciled transactions have an \" R \" in the checkmark column\" of the register. The copy to remove is still the unlinked one, and if it has no R, remove it by the posted route above. If it shows R, even when the linked copy does not, removing it changes a period that has already been reconciled, so change nothing until whoever owns that reconciliation agrees. If both copies show R, the earlier reconciliation was built on both, so the correction changes a period that has already been reconciled — take that case to whoever owns that reconciliation before touching either record. Intuit points the same way: \"If you already reconciled the transaction you want to unmatch or change, reach out to your accountant for advice.\" Removing the record or clearing its reconciled status does not leave the past reconciliation intact: \"Removing a cleared transaction changes the beginning balance for your next reconciliation.\" The completed reconciliation will still show as done, but the transactions it was built from have changed.\n\n**Inside a locked period.** When books are locked, \"If someone tries to change or delete these transactions, QuickBooks will either give a warning or ask for a password, depending on your settings.\" Do not use the password to delete the duplicate.\n\n## When should I reverse the duplicate with an entry instead of removing it?\n\nReverse it when the duplicate sits in a locked or already reported period, and for a reconciled duplicate only once the person who owns that reconciliation has agreed the approach. Intuit describes the method: \"Instead of removing the transaction, you can record a reversing entry to void a transaction in another period.\" Here is the sequence:\n\n1. Print the transaction journal for the duplicate. Intuit says of the printout: \"This will serve as your reference.\"\n2. Create a journal entry that swaps the debit and credit lines of the duplicate. For the date, \"enter the date you want to show the transaction as reversed\". Use a date in the current open period, not the closed one.\n3. If the duplicate is not yet reconciled, you have a choice: \"After voiding, you can either clear the original transaction and the reversing entry through the account register, or make a note to do so the next time you reconcile the account.\" Either way, \"These 2 transactions can be reconciled in the next reconciliation since they add up to zero and don't change the balance when combined.\" If the duplicate already shows R, do not touch its status. Cycling that status is the unreconcile action — it \"cycles the status from R (Reconciled) to C (Cleared) to Blank (Uncleared).\" Intuit's steps do not say how to clear the reversing entry alone when the original keeps its R, so settle it with whoever owns that reconciliation.\n\nA doubled customer deposit of 1,250.00 recorded straight to sales would be reversed like this:\n\n| Account | Debit | Credit |\n|---|---|---|\n| Sales income | 1,250.00 | |\n| Business checking | | 1,250.00 |\n\nThe closed period is left as it was reported, and the correction appears, dated and visible, in the period where it was found. Whether the earlier period's reported figures also need restating is a closed-period decision for your accountant.\n\n## What does a before-and-after view of one duplicate look like?\n\nA contractor's customer pays invoice 1042 for 1,250.00 on March 14. The owner records the payment and the bank deposit, and matches the deposit to the feed line. On March 20 the feed is reconnected after an error. The same deposit downloads again and is added as a new deposit coded to sales. March has not yet been reconciled. The bank statement shows 17,500.00 at March 31.\n\n| Item | Before | After |\n|---|---|---|\n| Copy A: deposit holding the invoice 1042 payment, matched to the feed | Kept | Kept, unchanged |\n| Copy B: deposit added from the re-downloaded feed line, sales | Posted, no links | Undone, feed line excluded |\n| Invoice 1042 | Paid | Paid |\n| March sales | Overstated by 1,250.00 | Correct |\n| Checking book balance, March 31 | 18,750.00 | 17,500.00 |\n| Statement balance, March 31 | 17,500.00 | 17,500.00 |\n| March reconciliation | Not started; a 1,250.00 difference would show | Reconciles with no difference |\n\nIf the owner had deleted copy A instead, the book balance would still come out right. But the payment for invoice 1042 would no longer sit inside a deposit that reached the bank, sales would still include a deposit that duplicates the invoice income, and the owner would have to go back and check what became of that payment and whether invoice 1042 is still shown as paid. If March had already been reconciled with copy B included, the right route is the reconciled one above, not an Undo.\n\n## What else do I need to repair after removing it?\n\nRemoving one record can disturb the records it was linked to. Check each of these:\n\n- **Applied payments.** If the copy you removed was applied to an invoice or bill, open that invoice or bill and check whether it now shows an open balance. If it does, apply the surviving payment to it, or re-enter the removed copy and remove the unlinked one instead; if the unlinked one shows R, make neither repair until whoever owns that reconciliation agrees. Re-entry is not the same in both cases: \"You can use the audit log to re-enter a deleted transaction\", while a voided one cannot be undone and has to be recreated from scratch.\n- **Matched feed lines.** If you undid a match, the feed line is back for review. Match it to the surviving record so it is not added again.\n- **Transfers.** If you removed half of a doubled transfer, open the surviving transfer and confirm it now shows in both accounts. Then match or exclude the other account's feed line so it is not added again.\n\n## What if the duplicate is a deposit that groups several payments?\n\nA grouped deposit is a container. \"When you deposit your payments at your bank, the bank often records it as a single transaction\", so the books hold several customer payments inside one deposit record. Removing the container affects every payment inside it, not just one line.\n\nBefore removing a duplicated grouped deposit:\n\n1. Open both copies and list the payments each one holds, by customer, invoice and amount.\n2. Keep the copy whose payments are applied to invoices and whose total matches the deposit slip and the statement line.\n3. After the removal, check every payment on your list rather than assuming it survived the deposit it sat in. Each one should sit in exactly one surviving deposit and be applied to the invoice it paid.\n4. If the payments were split across both copies, move them into the deposit you are keeping until its total matches the deposit slip.\n5. Check that the rebuilt deposit's total equals the single statement line.\n\n## How do I check the account still agrees with the bank afterwards?\n\nReconcile the affected account for every period the cleanup touched. The test is the one stated earlier: after reconciling, the bank balance and the book balance agree.\n\nIf you changed a transaction that was already reconciled, expect the next reconciliation to open from a different balance, because removing a cleared transaction \"changes the beginning balance for your next reconciliation.\" Compare the old and new opening balances. The difference should be exactly the duplicates you corrected, no more. Intuit warns that \"Undoing a reconciliation is irreversible\" but does not say when undoing the whole past reconciliation is warranted, so leave that decision to whoever owns it.\n\n## How do I leave a record of the cleanup?\n\nAnyone reading the books later has to be able to see what was removed and why. A deleted transaction stays in the audit log, but Intuit's help on deleting does not say the log records why it was removed. Keep your own record:\n\n- The list of duplicate pairs, each tied to its statement line and to the copy you kept.\n- For every reversing entry, a memo that names the duplicate and the statement line. It is \"especially important to fully document a correcting entry, since these items are particularly difficult to understand after some time has passed.\"\n- The printed transaction journal of each duplicate you reversed.\n- The finished reconciliation report for each period you re-reconciled.\n\n## How do I stop the duplicates coming back?\n\nFix the cause you identified, or the same duplicates will come back with the next download.\n\n- **Re-downloads.** Fix a feed error before you disconnect, and exclude re-downloaded items rather than deleting them, since excluded items are not downloaded again.\n- **Manual uploads alongside a live feed.** Intuit's help on excluding duplicates names this cause but not a way to prevent it.\n- **Manual entries.** When a downloaded line matches something you already entered, match it; do not add it.\n- **Transfers.** Record each transfer once, and match it in the other account.\n- **Recurring errors.** Keep a monthly count of correcting entries so you can see whether \"the underlying issues causing these entries have been resolved.\"",
